How to separate costs to offer competitive FOB prices on the floor

In international trade, FOB (Free On Board) price is the classic and most popular delivery condition that wholesalers always request when negotiating B2B. When a business completes the registration for an Alibaba account, the biggest challenge is not not having customers inquire, but how to offer a FOB price that is attractive enough to compete with global competitors, while also ensuring a profit margin for the factory.

Many business owners do not know how to calculate, incorrectly include domestic costs, or set prices too high, causing customers to leave, or set prices too low, leading to losses and then suspecting that the Alibaba system is a scam. In fact, to export through Alibaba successfully, the CEO needs to master the mindset of cash flow separation.

Below is a guide to breaking down the costs that make up the FOB price in the form of a detailed check-list for factories in Vietnam.

1. Component 1: Ex-Works Cost

This is the foundation cost to produce a complete product unit at the factory before moving it outside the factory gate.

Component costs that make up the factory price:

  • Direct material costs:Purchase price of raw embryos, main materials, and auxiliary materials constituting the product.

  • Direct labor costs:Salaries and wages are calculated based on the number of hours or number of products of workers at the production line.

  • General production costs at the factory:Machinery depreciation costs, production electricity costs, factory and premises management costs.

  • Domestic packaging costs:Cartons, shrink wrap, and shockproof foam protect the product at a basic level.

2. Component 2: Specialized Export Packaging Cost (Export Packaging Cost)

International sea or air goods require much stricter packaging standards than domestic consumer goods to avoid risks of mold and impact.

Export packaging items need to be listed:

  • Pallet Cost (Wood or Plastic):Fees for purchasing pallets, fumigation costs for wooden pallets and issuance of certificates according to international regulations.

  • Humidity protection supplies:Cost for specialized moisture-proof bags (Silica gel), thick PE wrapping film to wrap around pallets to isolate the marine environment.

  • Labeling and barcodes (Labeling):Cost of printing shipping labels (Shipping Mark) and wholesale box barcodes according to each buyer's specific requirements.

3. Component 3: Inland Trucking & Forwarding Costs

FOB prices require the seller to bear all costs and risks until the goods are safely loaded onto the ship's deck at the port of origin (for example, Cat Lai Port, Hai Phong Port).

Costs for hauling goods from factory to port:

  • Container/truck rental fee:Transportation costs from the factory's warehouse location to the container gathering yard (CY) at the port.

  • Container lifting fees at warehouses and ports:LoLo fee (Lift on/Lift off) at the warehouse and export terminal.

  • Export customs clearance costs:Fees for hiring customs declaration services, costs for preparing export documents (Commercial Invoice, Packing List).

  • Cost of applying for a certificate of origin (C/O):The cost of making a certificate of origin (Form E, Form CPTPP, Form B...) helps your customers reduce import taxes in their country.

4. Component 4: Local Charges at Port of Export (Local Charges at Vietnamese Port)

This is a group of fixed costs that shipping lines or forwarding agents (Forwarders) will collect from the seller at the export end. Businesses need accessFee scheduleThis is done regularly so as not to miss it when calculating the FOB price.

5. Component 5: Amortization of B2B Channel Operating Costs and Profit Margin

A common mistake of SMEs when they first open a booth is forgetting to include foundation investment costs in product prices, leading to high revenue but not compensating for fixed costs.

Indirect costs need to be allocated to the FOB price:

Depreciate Gold Supplier account costs: Divide the annual cost of opening an Alibaba booth evenly over the total container output expected to be exported during the year to find the amount to add to each product unit.

  • Marketing and advertising costs (KWA):Budget to run targeted keyword ads on the floor to attract quality inquiries.

  • Commission for Sales personnel:Bonus discount percentage on each successful order for the import-export sales team according to KPI.

  • Expected profit margin (Profit Margin):The factory's desired profit percentage (usually ranges from 10% - 25% depending on the industry) for reinvestment.
