Alibaba.comis an international e-commerce trading platform (B2B – business to business) that helps buyers from all over find suppliers, and suppliers from many countries reach international customers.
Opening a store on Alibaba (or consulting on opening an Alibaba store) is an important first step for Vietnamese businesses to participate in the export channel through Alibaba. Because international transactions have risks: payment, goods quality, delivery... Alibaba provides a transaction protection program called Trade Assurance to increase trust in the B2B model.
When you open a store on Alibaba and start your first order, understanding and using Trade Assurance will help you minimize risks and increase your reputation with international customers.
2. What is Trade Assurance?
Trade Assurance is a free service for above buyersAlibaba.com, helps protect orders if the supplier does not deliver on time or the quality is not as committed.
Once the order qualifies, the buyer can request a refund if the supplier breaches the contract according to the agreed terms. Some highlights:
- For buyers: increase reliability when purchasing internationally.
- For suppliers (especially Vietnamese businesses opening stores on Alibaba): supporting Trade Assurance makes it easier for suppliers to be chosen by buyers.
However: not all products or suppliers support Trade Assurance, and the level of protection is limited.
3. Why should you use Trade Assurance for your first order when exporting through Alibaba?
Because the first order often carries many risks: you do not have a transaction history, you can choose an unfamiliar or unknown supplier. Using Trade Assurance helps you:
Reduce the risk of capital loss when making international payments.
Have evidence and the right to request when goods are delivered incorrectly.
Increase your ability to be trusted by international customers if you are a seller (increase reputation on the store).
4. Instructions for activating Trade Assurance service (for buyers)
Step 1:Choose a provider that supports Trade Assurance
When looking for the above productAlibaba.com, turn on the “Trade Assurance” filter to only show suppliers with a guarantee symbol.
Check the provider has the Trade Assurance logo and the protection level (Trade Assurance limit) – that is, the maximum amount of money protected.
Note:If the order value is greater than the protection level, there is still a risk. Businesses should negotiate clearly.
Step 2:Negotiate and clearly define contract terms
Before ordering, it is necessary to clarify: product parameters, material, quantity, delivery time, packaging method, payment conditions.
The contract should be made through the Alibaba system for storage and support if there is a dispute.
Determine whether you want pre-shipment or post-delivery insurance if the carrier supports it.
Step 3:Confirm order and payment
Once you have chosen a supplier and clear terms, you create an order right on Alibaba with "Start Order" status and ensure Trade Assurance.
Payment via a channel designated or supported by Alibaba, for example, transfer via a bank designated by Alibaba.
Keep all receipts, contracts, photos/videos proving the transaction for later if a dispute needs to be resolved.
Step 4:Track orders and confirm delivery
After the supplier delivers the goods, you check whether the quality, quantity and delivery time are in accordance with the contract.
If there is a problem: you have the right to open a dispute via Alibaba within the specified time (usually 15 or 30 days after delivery) to request a Refund.
Step 5:Open a dispute if necessary and get protection
If there is a violation: overdue delivery, quality not as agreed, lack of quantity, you can open "Apply for Refund" in your order area.
Alibaba will review the records (contracts, chats, images, etc.), if the evidence is clear, they will refund within the protection limit.
Note:Exceeding the deadline/not saving evidence/... may result in loss of benefits.
5. Important notes when using Trade Assurance
Not every product is available or every supplier has it. Always check for the Trade Assurance logo.
The Trade Assurance limit may be smaller than the total order value — should be considered.
Documents, contracts, chats, transaction evidence should be fully preserved — very important when opening a dispute.
The time to open a dispute is limited (e.g. 30 days after delivery) — check early and act quickly.
Trade Assurance does not replace checking product quality or checking reputable suppliers - it is a supporting tool, not "100% risk-free".
For Vietnamese businesses exporting through Alibaba: there should be an internal process to check products before delivery, standard packaging, sending images/videos... to reduce risks.
